CANCELLATION, RESCHEDULING & NO-SHOW POLICY

1. Our Commitment to Every Appointment

At I Care Beauty Clinic, every appointment is reserved exclusively for you. Our doctors, medical aesthetic practitioners, and laser specialists dedicate time specifically for your consultation or treatment.

When appointments are cancelled on short notice or missed without notice, it prevents us from offering that appointment to another patient seeking care.

To provide fair access to all patients and respect our practitioners’ time, we ask all patients to carefully review and comply with the following policy.

2. Appointment Reservations

Appointments may be scheduled through:

  • Online Booking (JaneApp)
  • Telephone
  • In Person
  • WhatsApp (where available)
  • Other booking methods approved by the clinic

All appointments are subject to practitioner availability and confirmation by the clinic.

3. Appointment Reminders

4. Cancellation Notice

If you need to cancel or reschedule your appointment, we kindly request at least 48 hours’ notice.

Providing advance notice allows us to offer your appointment time to another patient.

Appointment changes must be made by contacting the clinic directly during business hours.

Where available, other communication methods may be accepted at the clinic’s discretion; however, patients are responsible for ensuring that the clinic has received and confirmed the request.

6. Late Cancellations

A cancellation made with less than 48 hours’ notice may be considered a late cancellation.

Late cancellations may be subject to the clinic’s applicable cancellation fee in accordance with the policy in effect at the time of the appointment.

7. No-Show Appointments

A no-show occurs when a patient:

  • does not attend a scheduled appointment; and
  • does not provide sufficient notice to the clinic.

No-show appointments may result in:

  • applicable no-show fees;
  • booking restrictions;
  • requirement for a deposit before future appointments;
  • suspension of online booking privileges;
  • refusal of future appointments in repeated cases.

8. Repeated Late Cancellations

Repeated late cancellations or repeated missed appointments may affect our ability to continue reserving appointment times.

Where appropriate, the clinic may require:

  • advance deposits;
  • prepaid appointments;
  • manual booking approval;
  • temporary booking restrictions.

These measures help ensure fair scheduling for all patients.

9. Late Arrival Policy

Patients are encouraged to arrive several minutes before their scheduled appointment.

Late arrival may reduce the available treatment time.

If a patient arrives significantly late, the clinic may:

  • shorten the appointment;
  • reschedule the appointment;
  • treat the appointment as a late cancellation or no-show where appropriate.

The decision will depend on practitioner availability, patient safety, and the treatment being performed.

10. Consultation Appointments

Consultation appointments involve reserved professional time.

Cancellation policies apply equally to consultation appointments unless otherwise specified.

11. Medical Emergencies

We understand that genuine emergencies may occur.

Where appropriate, the clinic may exercise discretion in exceptional circumstances, including:

  • medical emergencies;
  • hospitalization;
  • serious accidents;
  • family emergencies;
  • other circumstances considered reasonable by the clinic.

Supporting documentation may be requested where appropriate.

12. Practitioner Cancellations

Occasionally, appointments may need to be rescheduled due to:

  • practitioner illness;
  • medical emergencies;
  • equipment maintenance;
  • unforeseen operational circumstances;
  • severe weather;
  • other events beyond the clinic’s reasonable control.

If this occurs, we will make every reasonable effort to contact affected patients promptly and arrange a new appointment.

13. Packages & Memberships

Missed appointments relating to treatment packages or memberships may be subject to the same cancellation policy unless otherwise stated in the package or membership agreement.

14. Respect for Other Patients

Our scheduling policies help ensure that appointment times remain available for patients who need care.

By providing adequate notice when cancelling or rescheduling, you help us serve other members of our community.
